AI Search for Notarial Archives & Deeds | Arhivix
For Notaries & Notarial Chambers

Decades of notarial deeds, searchable in seconds.
AI overlay for Urkundenarchiv, SIGNO, MICEN and Notartel.

Notaries across the EU are obliged to preserve deeds for 75 to 100 years. Mandatory electronic archives like the German Urkundenarchiv, ANCERT's SIGNO in Spain, France's MICEN and Italy's Notartel already exist, but none give you semantic AI search across the protocol. Arhivix is the missing brain on top, eIDAS 2.0 qualified preservation ready and EU hosted.

Original is in the book, where's the copy?

The protocol book is the truth, the copies are somewhere

The original is in the green book on the shelf. Copies fly through emails, assistant folders, USB sticks. Nobody is sure which copy matches the original, and the client wants a copy three years later.

Apostille for a 2008 deed, the client's deadline is Friday

The client calls 18 years later, needs an apostille for a 2008 deed. The notary who signed it retired in 2015. The shelf is dusty, the clock ticks, the regulatory deadline doesn't wait.

No. The official electronic archive remains the legal source of truth. Arhivix sits above it, indexes the deeds (and any scanned legacy protocol you ingest), and provides semantic search, summarization and AML / DSAR evidence collection.

Yes. We work directly with chambers and their IT operators (such as ANCERT, Notartel, ADSN or the Bundesnotarkammer's IT arm) on whitelabel and OEM deployments of the AI overlay across the national archive. EU hosted, ISO 27001 and NIST aligned, eIDAS 2.0 qualified preservation ready.

Your documents are stored on Amazon Web Services (AWS) cloud infrastructure. Specifically, we use two separate S3 storage locations in two different European regions. This means that even in the event of technical issues in one region, your documents remain safe and accessible in the other. Everything is automatically encrypted.

Not without going through the access controls you set. Every file is encrypted at rest and in transit, and authorization is enforced on every request. For each user in your company, you can set individual permissions: who can view, edit, or download each document. No engineer at Arhivix has standing access to your files, and any internal access required for support or incident response is explicitly authorized and logged in an audit trail.

Arhivix automatically indexes every document you upload. Our AI system reads and understands the content of your documents, so you can search using natural language. For example, you can type "Find my phone bill from April" and the system will locate the exact document. No manual searching, no wasted time.

Not at all. Arhivix is designed to be simple for everyone. A document is archived in three steps, search works like a conversation with an assistant, and the entire system is intuitive. If you ever need help, we are here 24/7.
